Oral Presentation Guidelines (Virtual)

We would like to kindly invite you to the Demo Meeting for Virtual Speakers which will be held on Thursday, 1 September 2022 at 9:00 AM (MDT, UTC -6).

If you are not sure about the difference in time zones, you can convert time zones here.

Our technical staff will be pleased to introduce the virtual platform with detailed instructions on how the online connection through the platform works.

In case timing is not convenient for you, there will be a recording available after the demo meeting. A link will be sent to you.

All lectures will be streamed online, recorded and made available as on-demand sessions and therefore, all speakers are kindly asked to prepare their presentations with care for online viewing, including any applicable consent for the text and/or photo usage.

English is the official language of the Congress. Presenting authors are entirely responsible for the presentation content; they should omit any type of advertisement and they are expected to include their potential and/or actual conflict of interest on the second slide of their presentation.

Drugs should be referred to by their generic name (or generic plus trade name if needed).

Please note that any video files should be embedded and played from your PowerPoint presentation. Please avoid using Keynote and Prezi. The on-site computers will handle Windows versions of PowerPoint only. The following file types are supported:

  • Presentation: PPT, PPTX, PDF
  • Video: AVI, MPG, MKV, MOV, MP4, WMV

We invite you to use the IPNA template for your PowerPoint presentation, it is available HERE (please download a copy of this general template). Of course, you can add your institution logos if desired.

Depending on the form of your virtual presentation, please use either option 1) or option 2).

If you cannot attend the session in real time due to other commitments or an unsuitable time zone difference, you can send us your pre-recorded presentation which will be played on your behalf. This means that we will not count on your online connection and attendance at this session. In this instance, there will be no Q&A, so you can use the whole time mentioned in the “Your allotted time” line above.

Format: MP4/PPTX (video file) – PowerPoint presentation with commentaries is required.

If you have not had experience recording a presentation before, step-by-step instructions on how to capture your video presentation can be found here.

We kindly ask you to send your pre-recorded presentation by 31 August 2022 to speakers@ipna2022.org. You can use WeTransfer or a similar website if your file is too large to be sent via e-mail.

If you wish to record your presentation but also connect online for Q&A, please let us know via e-mail.

Your online live contribution to your session through the virtual platform is preferable, if possible.

Please prepare your PowerPoint presentation in advance and once the virtual platform is ready, we will send you guidelines on how to upload your presentation to the virtual meeting platform in the second half of August 2022.

At the time of your Congress presentation, using the fully interactive virtual meeting platform, you will be able to give a real-time presentation and answer questions from the audience. You will be also able to chat with the session chair(s) during the session.

How to Present

For the correct functioning of the online meeting platform please follow the minimum system requirements:

  • Microsoft Windows or Mac OS or Linux based device
  • Latest Chrome or Microsoft Edge internet browsers (other browsers are not fully supported)
  • Headphones with a microphone to reduce background noise
  • Stable Internet connection (minimum 10/10 Mbps)

To make sure your device/microphone/headphone are working well, you will be required to check your system setup using the online Speakers´ Preview Room in the virtual platform.

Before giving your presentation, you need to join a “virtual room” about 15 minutes before your session starts. (Please double check the time difference to ensure the joining time is correct.)

Instructions to join the session’s virtual room will be sent to you at a later date.

Should you have any questions, do not hesitate to contact the IPNA 2022 Secretariat at speakers@ipna2022.org.
